Challenge: Find a cost-effective way to mail pre-conference materials to hundreds of individual attendees

OMA offers pre-conference programming and review courses where attendees can purchase printed materials on-site. Previously, all course materials were produced through a local printer and sent to the conference site as one shipment—easy enough for existing staff to manage. But when the organization opted to deliver their conference virtually, materials needed to be pre-ordered and shipped to each participant individually. OMA did not have the resources nor the infrastructure in place to prepare and ship hundreds of individual pieces.

Solution: Leverage the expertise of a print and fulfillment partner to simplify the process and save costs

Recognizing the need to source an outside vendor to handle the print and fulfillment of their pre-conference training and education materials, OMA partnered with Omnipress who had the precise capabilities and expertise OMA needed to deliver the materials their attendees wanted. What’s more, Omnipress was able to leverage their micro-inventory print-on-demand solution for OMA, which decreased the amount of overage OMA needed to print, offered a competitive cost-per-piece, and streamlined the entire process of having to track and manage which materials each participant ordered. Meanwhile, OMA staff could focus on more important objectives, like delivering an exceptional conference experience.

Results: Increased profitability on printed conference materials

Through this new pre-order process, OMA was able to increase profit on their printed materials because they were able to print a quantity that was better aligned to demand. In fact, although some events have resumed in-person, OMA is continuing the process of shipping pre-ordered materials to attendees before the conference begins, with only a small amount of overage reserved for on-site sales during the conference.
